TriNet uses new RPA technology to transform its payroll processing services
The challenge
Payroll processing is one of the many services TriNet Group, Inc. offers its clients. The team processes payroll for thousands of customers, making direct deposit ACH payments every business day leading to millions of transactions per year. Sending out payroll payments involves monotonous and manual work at the end of each business day for TriNet’s treasury operations team, who began exploring robotic process automation (RPA) technology to improve efficiency within the process.
The solution
TriNet met with multiple vendors to explore the different tools and capabilities they offered and embarked on a pilot programme. The treasury operations team quickly began to realise the benefits of free hours to address more satisfying complex tasks and strategic priorities. Deploying the solution, developed by the vendor, was a significant undertaking. The team worked for several months to onboard the platform and perfect the code to handle all identified requirements. The tangible return on these efforts has been excellent. The team realised the benefits of saving time and focusing on more crucial tasks and strategic priorities ultimately leading to more satisfying work.
Best practice and innovation
Utilising RPA technology to fundamentally change the way the TriNet treasury team worked, and the company operated, embodies innovation. It required best practice and standards to ensure the change was well-executed and the results closely monitored. This was achieved by establishing an RPA centre of excellence (CoE), responsible for providing coaching, support and oversight of the programme. For example, TriNet introduced deep-dive code reviews prior to testing and deployment of the service. Furthermore, the testing, deployment, and integration of the RPA solution by the treasury team has acted as a catalyst for other teams within TriNet to consider additional use cases for RPA solutions which may lead to optimizing operations and gaining efficiency.
