The challenge

As ServiceNow scaled rapidly across 40+ countries and 60+ legal entities, its treasury operations faced a fundamental data problem. Treasury data was fragmented across more than ten systems, banks, treasury management system (TMS), enterprise resource planning (ERP), FX analytics, investment platforms, and financial planning tools, arriving via different channels, formats and destinations with no single source of truth.

Teams spent hundreds of hours each year manually downloading, reconciling and reformatting data. Reporting was slow, error-prone and could not keep pace with the company’s global growth. Dashboards were unreliable, analysis was complex, and strategic insights were nearly impossible to surface consistently.

The solution

ServiceNow implemented a centralised treasury data lake, Project Artemis, on Snowflake, consolidating data from 10+ source systems including its TMS, ERP, FX analytics, investment analytics providers, banking portals, and financial planning tools into a single, governed, consumption‑ready repository.

As the treasury management system at the core of ServiceNow’s operations, Kyriba’s API connectivity enabled the consolidation of core TMS data, including transactions, positions, cash balances, FX trades, financing data, etc, directly into the centralised Snowflake data lake, making Kyriba a foundational data source for Project Artemis and the analytics and AI capabilities built on top of it.

The data lake vision was originated by Tim Muindi, GVP, Treasury and Claire Wang, Senior Treasury Manager who developed the roadmap and architecture concept internally before engaging partners for input. When they brought the plan to Citi’s Client Advisory team for input on data integration, specifically what data should live in the lake and how to connect it, Citi’s suggestions were memorable: data strategy is essential and take ownership of your data. A centralised, governed data foundation was not a nice‑to‑have – it was a prerequisite for everything that came next.

Best practice and innovation

Judges awarded ServiceNow for a well thought through ambition with a comprehensive treasury spectrum that embraces the latest technology – data lake, AI – setting technology standards. ServiceNow’s transformation exemplifies best practice industry innovation:

  • Data ownership as strategic infrastructure: ServiceNow built a data architecture it fully owns and controls.

  • Data-first sequencing: ServiceNow set out its data foundation first, automation second, AI third.

  • Now-on-now innovation: ServiceNow treasury runs on its own platform, automating bank account management, forecast collection, payments, and GL processes using ServiceNow workflows.

Key benefits

  • Process efficiencies.

  • Improved key performance indicators (KPIs) or metrics.

  • Improved visibility.

  • Increased automation.

  • Increased system connectivity.

  • Manual intervention reduced.

ServiceNow’s treasury transformation met and exceeded each of its original mandates.

  • Data accessibility achieved: Project Artemis eliminated the “final mile” manual work previously required across 10+ systems.

  • AI readiness proven: with clean, governed, integrated data, ServiceNow treasury became the first finance team in the company selected for enterprise AI initiatives, not through lobbying, but because the data was demonstrably ready.

  • FX operations automated: Kyriba FireApps replaced fully manual balance sheet and cash flow hedging across 40+ currency pairs, improving execution consistency and reducing errors across billions in FX exposure.

Treasury has shifted from reactive, spreadsheet-driven execution to a real-time, AI-enabled strategic partner – and is now recognised across ServiceNow’s enterprise as a pioneer of data and AI adoption within the broader finance function.

Behind ServiceNow’s treasury transformation is a story that began not with technology, but with a conversation about data ownership. The data lake concept was Tim Muindi and Claire Wang’s own idea. They had already developed the vision and roadmap for Project Artemis before approaching external partners. When they brought the plan to Citi’s Client Advisory team for focused input on data integration – what data belonged in the lake, how to connect it across providers, what channels to use – Citi provided useful suggestions around the importance of owning your data. That advice sharpened and validated the architecture the team was already building and became a principle they carried through every subsequent decision.

Modern treasury organisations are continually looking for ways to simplify operations, improve visibility and create more intelligent workflows across systems and data environments. Through close collaboration with the ServiceNow treasury team, Actualize Consulting helped support an initiative that delivered improvements across their FX programme, intercompany workflows and data integrations while advancing the organisation’s broader data, technology and AI transformation objectives. Congratulations to the ServiceNow team on this outstanding recognition and achievement.
